What is on an Ecuadorian Acta de Grado, field by field

The Acta de Grado is the formal record of a student’s graduation from an Ecuadorian secondary school, signed by the school’s executive council and endorsed by the Ministry of Education. It carries the grades that credential evaluators need. The fields below are from an Acta we have translated, issued in Loja province.

Régimen escolar	Sierra or Costa — Ecuador runs two school calendars by region. Kept, because it explains the academic year dates.

Jornada	The session attended — matutina (morning), vespertina (afternoon), nocturna (evening).
Institución educativa	The school’s full legal name, including its type (fiscomisional, fiscal, particular). Kept in Spanish with the type explained.
Consejo Ejecutivo members	Rector, vice-rector, first/second/third board members (vocales) and the secretary — six named officers with roles.
Documento de identidad	The student’s national ID (cédula) number. Transcribed exactly — never reformatted.
Promedio del subnivel de Básica Superior	Average for lower-secondary grades, on the 10-point scale.
Promedio de los tres años de Bachillerato	Average across the three years of upper secondary.
Nota de exámenes de grado (Ser Bachiller)	The score on the national graduation examination.
Nota final	The final grade, given in words and figures (e.g. “ocho coma cincuenta y cinco” / 8.55). Both are translated.
Título de Bachiller en …	The title conferred and its specialisation (Ciencias, Técnico, etc.).
Número y fecha de refrendación	Ministry of Education endorsement number and date, with a matching barcode.

What goes wrong with Ecuadorian school records

Bachiller read as a bachelor’s degree — “Bachiller en Ciencias” is a secondary-school leaving title, equivalent to a US high-school diploma — not a university bachelor’s. We render it as issued and add the clarifying label, because an evaluator that reads it as a degree will reject the file.
Grades converted to a 4.0 scale — Some translations convert 8.55 to “B+” or “3.4 GPA”. WES and ECE do their own conversion and treat a pre-converted grade as an altered document.
Only the diploma translated, not the Acta — The one-page decorative diploma often has no grades on it. Evaluators usually want the Acta de Grado, which does. If your checklist asks for grades, translate the Acta.
Missing the endorsement page — The ME-REF number and barcode are what let the Ministry verify the record. Photograph the whole sheet, including the barcode strip at the right edge.

The whole executive council is named — The Acta lists the rector, vice-rector, three board members and the secretary. All six are part of the record and are carried across with their roles.
Refrendación numbers preserved — The Ministry endorsement number (ME-REF-…) and its date are what make the Acta verifiable. Transcribed exactly, barcode noted.
Legal basis kept — The Acta cites Art. 198 of the LOEI regulations. The citation stays — it is the authority under which the title was conferred.

Is this translation accepted by USCIS?

Yes. USCIS requires a complete English translation together with a certification that the translator is competent and the translation is accurate (8 CFR 103.2(b)(3)). Every order includes that signed certification on company letterhead, with an order number that can be independently verified on our verification page. If USCIS ever rejects a translation we prepared, we revise it free of charge or refund you in full.

Do I need a notarized translation?

Not for USCIS. USCIS removed the notarization requirement decades ago — a certified translation is exactly what the instructions ask for. Some DMVs, courts and apostille processes do want notarization; if that is your situation, contact us and we will point you to a suitable notarized-translation provider.

Credential evaluators accept certified word-for-word translations, which is what we issue. Note they normally also require the school or the Ministry to send the record directly — the translation accompanies that, it does not replace it.
